Event Booking

Your Academic Coordinator is here to help you throughout your entire event scheduling process. From venue research, non-profit discount application, to securing your dates. Let them handle these things so you can focus on preparing for event execution. But ALWAYS be sure to submit an Event Request Form to request an event. No other form of request is accepted.

Securing Dates

Each time you submit an event request form, it will ask you for preferred and back-up dates so that your Academic Coordinator can confidently book the best available dates for you. If they have to get a little creative with your dates due to a lack of availability, they will verify the final dates with you before officially submitting your application or request to book. Please be sensitive to response times if you know your AC is working on booking an event for you! We want to be sure we can secure the best available dates to accommodate your calendar.

Paperwork & Contracts

There are typically going to be contracts to sign and other paperwork that needs to be filled out and submitted to the venue before your rental is completely secured. The AC will complete any paperwork they can, and will let you know if and when they need you to sign or fill anything out. If you know your AC is working on booking an event for you, please be sure to keep an eye out for their requests as they can be time-sensitive.

Payment Instruction & Verification

Venue payment is the responsibility of the Instructor.  Some venues may ask for payment in full before the event, some may only require a deposit, and some may accept payment after the event is over. Your Academic Coordinator will forward you all of the information you need to pay for your venue. We will not be able to order your marketing until we know the venue has been paid for (if applicable).
